What's New in StatStream

This release introduces Custom Form Fields for Assets and Work Orders, so you can add your own fields to forms and capture the information your team needs.

Why Custom Form Fields

Every business tracks different details. One team needs a calibration date, another needs a cost center or a safety class. With fixed forms, this data ends up in spreadsheets or in free-text descriptions, where it is hard to search and easy to lose. Custom Form Fields let you shape Asset and Work Order forms around your own process, so the data stays in one place and in a consistent format.

Form Field Management

• Create custom form fields for Assets and Work Orders from workspace settings.
• Give each field a label and choose its field type.
• Mark a field as required so important details are never skipped.
• Edit or remove fields at any time as your requirements change.

Forms

• Custom form fields appear on the Create and Edit forms for Assets and Work Orders.
• Required fields are validated before the form is saved.
• Existing assets and work orders keep working as before, and new fields stay empty until filled in.

Display

• Asset values appear in a new Custom Fields card on the Asset Info page.
• Work Order values appear on the Work Order details page.
• Long lists scroll inside the card, so the page layout stays clean.
• Empty values show as ”-”.

Impact

• Lets each customer set up Asset and Work Order forms to match their own process.
• Keeps extra data structured and searchable instead of buried in descriptions or spreadsheets.
• Enforces required details at the time of entry.
• Keeps a clear audit trail of changes to custom data.

This release introduces Service Contracts, a central place to record, track and manage the vendor service agreements (AMC, warranty and support contracts) behind your assets.

Why Service Contracts

Service agreements are usually scattered across emails, spreadsheets and paper files. Teams find out a contract has expired only when equipment fails and the vendor refuses support. Service Contracts keeps every agreement, its validity, its documents and the assets it covers in one place, so renewals are not missed and vendor support is always traceable.

Contract Management

• Create contracts with a Contract Name/ID, start date, end date and the vendor company.
• Record who signed the contract and add additional details or terms.
• Set a reminder email so the right person is notified about the contract.
• Each contract shows a live status: Active, Future or Expired, based on its dates.
• Switch a contract on or off without deleting it, so history is preserved.

Assets Covered

• Link one or more assets to a contract to show which equipment each agreement covers.
• Add or remove assets as coverage changes.

Contract Documents

• Upload and store contract files, such as signed agreements, quotes and invoices, against the contract.
• Download or delete files at any time.

Timeline and Comments

• Each contract has a timeline where users can add comments.
• Keeps a clear history of discussions, renewals and decisions in one place.

Impact

• Gives a single source of truth for all vendor service agreements.
• Reduces the risk of unnoticed expiries and lapsed support.
• Makes it quick to see which vendor covers which asset.
• Keeps contract documents and communication together instead of spread across emails and shared drives.
